You may run into some clients where you see an active legacy adjustment on the contact screen.
This value comes from any type of transaction activity in the previous system that doesn't have a representation in BusinessMind.
This amount is preserved at the time of the migration to make sure the balance in the they owe field matches EXACTLY what it was in the previous system (so nothing changed with the migration).
No transactions processed after the update effect the active legacy adjustment.
The only thing that can effect (change) the active legacy adjustment is if you use the tool located in the gear icon on the contact record, nothing else.
You can utilize this tool to remove the active legacy adjustment if you need. It is recommended to remove this and re-add it as a bonafide transaction within BusinessMind containing information of their choosing as there are some significant advantages in doing this.
The below screen shots shows a contact record with an active legacy adjustment
You should note that the customers They Owe field (balance) is 0.00 in this example. But the client has a active legacy adjustment of -220.03. This means this value is coming from any type of transaction/activity in the previous system that doesn't have a representation in BusinessMind. This active legacy adjustment is being calculated into the balance you see.
Lets use the tool to remove this active legacy adjustment to see how it effects the The Owe field (balance)
To do this we simply click on the gear icon and choose the remove legacy adjustment option.
This will open a prompt where you can input the amount to remove.
In this example the amount is -222.03 so to remove this the amount we would need to type in would be positive 222.03.
You will note that the The Owe field (balance) has now gone down by 222.03 making it -222.03. You should also note that the legacy adjustment is no longer there as it was removed..
Many users ask "My client balance is correct, why should I remove the legacy adjustment?" The simple answer is you don't have to.
You can leave this forever if you would like (though we recommend cleaning these up to avoid future confusion).
However some clients find that this extra number may confuse employees and clients. They want to remove it but of course this will effect the balance of the contact.
There is a simple solution for this as well.
Write down the adjustment amount
Follow the instructions on removing the legacy adjustment.
Once it is removed utilize the plus icon to either create an adjusting credit or sale entry to off set the removed amount.
When using one of these options you can utilize the gear icon to add a custom amount for the transaction and you can backdate the transaction to push it away from your current reports. We also recommend that you utilize the reference and not fields to signify that this transaction you are creating is for a legacy adjustment.
