Quick and Easy way to calculate data via an Excel pivot table.

This article will describe how to utilize Excel to quickly calculate data downloaded from BusinessMind via a pivot table.

This article will describe how to utilize Excel to quickly calculate data downloaded from BusinessMind via a pivot table. This process takes only a few clicks and requires little knoledge of Excel.

For this example we will be working with data from the Sales & Return lines area of BusinessMind found on the sales home page.

  • The first step is to create and save your smart as per your specific needs.

Name your smart set, set your search parameters, and select the columns important to you.  In this example I choose the columns Brand, Line Amount, Line Cost, Model, Model Tracking0, Model Tracking1, and Geolocation but you can feel free to choose what ever columns is important to you.

  • Once you have your smart set saved use the download option to download the data into Excel.

  • Once the data is open in Excel click the Insert button

  • Now click the PivotTable button

  • This will open a dialog window simply click the OK button leaving all the options already filled in.

  • Your Pivot Table window will display. You will note your field names will be listed on the right with toggle boxes.

  • Checking info will add to your Pivot Table and calculate data.  Let's say we want to see totals by Brand.  We can check the Brand column and make sure it is now listed in the Rows area which will group the data via Brand.

  • Now I would like to see my Cost and Sales Amount totals per Brand.  I simply check the line amount and line cost and make sure these are in the Values area. Excel will automatically total these per Brand.

  • You can even take this even further via more grouping.  Lets check Model Tracking 0 and make sure it is in the Rows column.  You will see it will now break down each Brand with the model tracking 0 info as well.

  • There are no limits here on how you set up your rows and values so feel free to play around.  The below screen show shows where our primary grouping is model tracking 0 and the secondary is brand.

  • Again you can set these up in any way with a few simple clicks of toggle boxes.
